JOB: Imports Officer

Duties and responsibilities;

  1. Liaising with the stores, and control room to determine items to be ordered.
  2. Requesting for proforma invoices from overseas suppliers
  3. Processing of overseas purchase orders
  4. Ensuring no storage charges (demurrage) incurred
  5. Processing of proforma invoices and IDF application
  6. Making arrangements for insurance covers for shipments
  7. Processing of payments for suppliers
  8. Preparation of credit notes
  9. Following up on status of goods to ensure that shipments are delivered in time
  10. Keeping track of incoming shipments
  11. Liaising with clearing agents on cargo clearance with customs
  12. Fully familiar with imports process of PPB, IDF, CoC etc.
  13. Supervising inspection of goods once received.
  14. Notifying suppliers on shortages or excess and faulty items received and taking the necessary action
  15. Liaising with stock control on preparation of GRN
  16. Filing and keeping records of all imports documents
  17. Providing relevant reports on a frequent basis to management
  18. Providing suggestions on how to improve systems and process to management
  19. Updating of imports and emailing consignments status to the Chief Operations Officer
  20. Any other duty as may be assigned by the management from time to time



  1. A degree in Purchasing and Logistics Management or a relevant course
  2. Must have experience of a minimum of 2 years in a similar capacity
  3. Must have excellent Microsoft Excel skills
  4. Knowledge on SAP B1 is an added advantage
