JOB: Personal assistant to the CEO

One of our esteemed clients in the FMCG Industry is seeking to recruit a Personal assistant to the CEO.

Job Role:


Provide effective and efficient support to the Chief Executive Officer and the Senior Management team through management of information and documentation flow, organization of/preparation for meetings and follow-up on actions required and deadlines/commitments made.


Key responsibilities:


  • Maintain appointment calendars, efficient and discreet management of the Chief Executive Officer’s schedule, and administration of meetings, appointments and briefings.
  • Representing the CEO to third parties internally and externally e.g. dealing with certain queries directed to the CEO and the rest of the organization, booking meetings among others
  • Coordination of/preparation of relevant documentation/background notes for meetings organized
  • Sit in weekly HOD meetings, take minutes, keep records of the same and follow up on action items.
  • Tracking of progress on agreed issues; follow-up with focal points on deadlines, commitments made, actions taken and coordination of submission of Senior Management’s reports in preparation for relevant meetings
  • Administration of travel for CEO as required, including itinerary, hotel reservations, preparation of travel authorizations, processing requests for visas, and other documents, etc.
  • Research and follow up of business contacts made through networking and providing feed back to CEO and general management.
  • Draft routine correspondence and interoffice memos, general briefing notes, documents, reports when required from the CEOs office.
  • Ensures that all follow-on phone calls, correspondence and paperwork, is completed in a correct, organized and thorough manner

The Ideal Candidate:

  • A Bachelor’s Degree business administration or related studies.
  • Background in Secretarial studies will be an added advantage
  • At least 3 years’ experience in a similar role
  • Meticulous attention to detail and accuracy
  • Strong business writing and presentation skills
  • Expert knowledge of Microsoft Office packages particularly Excel, Word and PowerPoint.  
  • Knowledge of project management skills will be an added advantage.
