OPERATIONS MANAGER

The Operations Manager is responsible for planning, coordinating, and overseeing the end-to-end distribution operations of products to ensure efficient inventory management, timely deliveries, excellent customer service, cost control, compliance with company policies, and achievement of business objectives. The role ensures optimal utilization of people, vehicles, warehouses, and distribution resources while maintaining high safety and operational standards.

1. Distribution Operations Management

• Plan and coordinate daily distribution activities.
• Ensure timely loading, dispatch, and delivery of products.
• Monitor delivery performance across all routes.
• Ensure customer orders are fulfilled accurately and on time.
• Develop efficient delivery schedules.

2. Fleet Management

• Oversee utilization of company vehicles.
• Ensure preventive maintenance schedules are followed.
• Monitor vehicle fuel consumption.
• Minimize vehicle downtime.
• Ensure all vehicles comply with legal and safety requirements.        

3. Warehouse Operations

• Oversee receiving, storage, and dispatch of products.
• Ensure FIFO/FEFO principles are followed.
• Monitor warehouse space utilization.
• Ensure stock accuracy.
• Coordinate regular stock counts.

4. Inventory Management

• Maintain accurate inventory records.
• Investigate inventory variances.
• Reduce stock losses and damages.
• Monitor stock ageing.
• Coordinate stock reconciliation with Finance.

5. Customer Service

• Ensure timely order fulfillment.
• Resolve customer delivery complaints.
• Improve service levels.
• Maintain strong relationships with key customers.

6. Cost Control

• Prepare and monitor operational budgets.
• Control fuel costs.
• Reduce vehicle maintenance costs.
• Monitor warehouse-operating expenses.
• Identify cost-saving opportunities.

7. Team Leadership

• Supervise operations personnel.
• Set departmental objectives.
• Conduct performance reviews.
• Identify staff training needs.
• Build a high-performance culture.

8. Compliance & Safety

• Ensure compliance with KBL distribution standards.
• Enforce Occupational Health and Safety (OHS) procedures.
• Ensure compliance with transport regulations.
• Conduct safety audits.
• Promote safe warehouse operations.

9. Reporting

Prepare regular reports on:

• Distribution performance
• Delivery turnaround time
• Fleet utilization
• Inventory status
• Operational costs
• Customer service performance
• Staff productivity
• Route performance

10. Continuous Improvement

• Improve operational efficiency.
• Introduce process improvements.
• Optimize delivery routes.
• Implement productivity initiatives.
• Support digital transformation projects.

Qualifications

• Bachelor Degree in Logistics, Supply Chain Management, Business Administration, Operations Management, or related field.
• Professional certification in Supply Chain or Logistics is an added advantage.
• Driving License

Experience

• Minimum 5–8 years' experience in FMCG distribution.
• At least 3 years in a management role.
• Experience managing large fleets.
• Experience managing warehouse operations.
• Experience in beverage distribution is an added advantage.
